What is Microsoft Outlook Calendar?

Microsoft Outlook automatically reflects approved time off, company holidays, and key events directly in employees' Outlook calendars — keeping availability visible across teams without needing to check Factorial separately. Factorial remains the single source of truth; Outlook becomes the daily operational view, eliminating confusion, double-booking, and missed context when managing time off across tools.

Benefits

  • Always know who's available: see colleagues' availability directly in Outlook when scheduling meetings, eliminating double-bookings and missed context.
  • Centralised calendar view: time off, public holidays, and company events all visible in one place.
  • Automatic sync: once connected, approved absences flow from Factorial to Outlook as Out of Office; any edits or cancellations made in Factorial automatically update Outlook too, with no manual updates needed. ⚠️ Important: This integration is not retroactive. Only leaves that are created and approved after activation will be synced to your calendar.
  • Team-wide visibility: employees can see other colleagues' time off status directly in Outlook.
  • Sync based on employee email: the sync is matched by the employee's email address configured in their personal information in Factorial.
  • Quick setup, managed by admins: admins connect via the Factorial Marketplace using Microsoft Graph API for a secure, seamless connection.

What's synced:Approved absences, sick leave, parental leave, public holidays, and company holidays/events configured in Factorial.

Not synced:Custom leave types and overtime compensation are not currently supported. If a sync is attempted for these types, no data will appear in Outlook — this is expected behaviour for the current version.

Note: sick leave will sync but will not be exposed as a leave type label in Outlook as it is considered sensitive information.
